We are looking for an Office Manager to join the Fort Capital team. The ideal candidate is due-diligent, hardworking, and can’t let go of work until it is flawless. This person likes to complete tasks independently, but is also ready for whoever calls, walks in the door, or submits an administrative request.

RESPONSIBILITIES

  • Performing a daily audit of office supplies and the snack/beverage inventory, ordering as necessary, and restocking in print areas, kitchens, and conference rooms.
  • Maintaining common areas around the office, including the kitchen, reception area, and conference rooms.
  • Coordinating, gathering orders, ordering, and picking up meeting materials and lunches as needed.
  • Performing miscellaneous tasks such as coffee machine maintenance, clearing space for new hires, etc.
  • Maintaining calendar invitations and our conference room booking system.
  • Checking the mail, distributing to team members, and/or scanning mail to remote team members.
  • Greeting office visitors and guests.
  • Reviewing voicemails and sending to appropriate team member.
  • Managing and coordinating pick-ups from our corporate FedEx account.
  • Maintaining employee contact information, Birthdays, Work Anniversaries, PTO, and calendars.
  • Planning and executing culture initiatives, such as quarterly team events and monthly team lunches.
  • Distributing partner gifts related to acquisitions and dispositions and maintaining our gift box inventory.
  • Coordinating bi-annual employee swag orders and maintaining swag backstock for gifts and new hires.
  • Coordinating event logistics for annual events such as the holiday party and investor event.
  • Managing the annual holiday gift that is distributed to investors and vendors.
  • Supporting department-specific projects, as needed.

ADDITIONAL INFORMATION

  • This position could be full-time or a part-time position (30 hours per week).
  • This position would primarily support the Fort Worth office but would need reliable transportation to Dallas 1x to 2x per week to support our Dallas office as well.

REQUIREMENTS

  • Excellent organization, communication, and problem-solving skills.
  • Ability to be flexible, proactive, and the ultimate multitasker.
  • Proficiency in Microsoft Office and ability to adopt new technologies.
  • Flexible schedule with reliable transportation, estimated 3-5 hours of driving per week.
  • Physically able to lift up to 30 pounds, with or without assistance.
